Staff and roles

Staff and roles shows who can do what, and where. It is company-wide.

Required role: store owner to invite, change access and deactivate. Branch managers can view the people at their branches.

For what each role is for, see The five roles. The Permission matrix on this page is generated from the same rules the portal applies, so the two always agree.

Invite a person​

  1. Press Invite. The seat count for your plan is shown beside it.
  2. Enter their email, and choose their role and, for a branch manager or cashier, their branches.
  3. Send the invitation.

Invitations are listed separately from active staff, with states such as Invitation expired and Delivery failed — simulated. You can Resend an invitation (the seat count does not change) or revoke it to free the seat. Inviting an address already in the store offers to open that person instead.

Preview

No email is sent and nobody signs in with their own account yet. Preview acceptance shows what the invitee would see.

Change a person's access​

  1. Press Change access on the person.
  2. Change their role, branches, or — for a branch manager — whether they may approve offers.
  3. Read what they will be able to open, then save. Cancel leaves everything unchanged.

The portal refuses, with the reason, changes that would leave the store unsafe: changing your own row, changing the primary owner, changing an invitation that has not been accepted, or removing the last delegated approver while an offer is waiting.

Delegated rights​

Use Delegated rights to grant a person rights beyond their role's defaults. Grant only what the person needs.

Changes apply immediately. Reverse completed redemptions is shown as not yet available.

Deactivate and reactivate​

Press Deactivate to stop a person's access; Reactivate restores it. Their history stays in the audit log.
